Cloud or a PC in the Shop?
Every pawn software decision comes down to this one first. The features lists look alike; where the data lives is what you actually live with. Here is the honest version of both, including where the cloud is the worse answer.
The short version If your shop has a usable internet connection, cloud costs less to own and cannot be lost with a machine. If your connection genuinely fails for hours at a time, a local install keeps the counter moving and you take on the backups yourself.
The same shop, two arrangements
| Cloud | Installed on a shop PC | |
|---|---|---|
| If the machine dies | Open the books on another device. Nothing was on that machine. | You are down until it is repaired, and back to your last backup. |
| Backups | Run for you, off-site, without anyone remembering. | Yours to run onto a pen drive, and yours to test. Most shops discover an untested backup at the worst moment. |
| Theft or fire | The ledger is elsewhere. You lose gold, not the record of who owns it. | The record is in the same room as the strongroom. |
| When the line goes down | You cannot write until it is back. A phone hotspot is usually enough — a pledge takes seconds of network. | Keeps working. This is the real advantage, and for some shops it decides it. |
| A second branch | Same books, no extra machine. | A second install and a second set of numbers, reconciled by hand or by a paid sync. |
| Seeing the shop from home | Open a browser or the app. | Remote access software, or a phone call to whoever is at the counter. |
| Updates | Already there when you load the page. | A visit, a download, or an annual maintenance charge. |
| What you pay | A subscription. Nothing up front, and it stops when you stop. | A larger first-year figure, then renewals — plus the PC, and the time of whoever maintains it. |
| Who holds the data | A provider does. Ask where the servers are and how you get an export out. | You do, physically. That is either reassuring or a liability, depending on the shop. |
Questions worth asking either way
- Can I get my data out? Ask for a CSV export before you sign, not after. A book you cannot take with you is not really yours.
- What happens if I stop paying? Deleted, or read-only? With PawnEasy Pro nothing is deleted — the books become read-only and renewing restores writing.
- Is the mobile app extra? On many quotes it is a separate line. Here the Android app and the web portal are the same subscription.
- Is there a per-user charge? A shop with six staff and a per-seat licence pays a very different price than the headline.
- Where are the servers? PawnEasy Pro runs on servers in Mumbai, India.
- How is customer identity stored? Aadhaar and PAN should never be readable in full, by anyone, including the provider. How we do it →
Where PawnEasy Pro sits
It is cloud, deliberately: an Android app for the counter and a web portal for the desk, both reading one set of books held on servers in Mumbai, with backups you never have to think about. There is no version to install on a shop PC.
That is the wrong answer for a shop whose connection is out for hours at a stretch, and we would rather say so now than have you find out in week two. If yours is patchy but present, a phone hotspot covers it — writing a pledge is a few seconds of network, not a constant stream.
